How it actually works.

Four steps, run in order, on every open invoice you have. Below is each one, what it looks like on screen, and where a human is meant to step in.

I

Connect

Chasing Co. starts from the ledger you already keep, and asks for nothing beyond it.

Connecting Xero, MYOB or QuickBooks takes about five minutes. Chasing Co. pulls in every open invoice, credit note, contact and payment term and keeps them in sync. The connection is read-only, so it can see all of that and change none of it. If you later turn write-back on, the only two things it will ever write are a matched payment and a note on a contact.

Then the channels: the mailbox Chasing Co. sends from, an SMS number, and a WhatsApp Business line for the customers who only answer there. All three are yours, in your name, and any of them can be switched off on its own.

Assess

Two invoices can be equally overdue and worth entirely different amounts of your attention.

Chasing Co. scores each open invoice on how that customer has paid you historically, the size and age of the amount, how they are behaving on their other invoices, and what they said in the last thread. A customer who has paid you at day 45 for six years is not a problem at day 30. A customer who asked a question three weeks ago and then went silent is.

What comes out is a worklist, not an aged-debtors report. Who to push today, on which channel, and who to leave alone this week. Override any of it and Chasing Co. takes the correction.

Chasing Co. writes the way a good credit controller writes: specific, unbothered, and impossible to ignore forever.

A courtesy note before the due date, then a sequence that firms up week by week without ever tipping into rudeness. You approve the cadence before anything runs. Email is the default. SMS comes in when someone has stopped opening email, WhatsApp when that is demonstrably where they answer. Every message carries the invoice number, the amount, the due date and the easiest way to pay, so nobody has to go looking.

Then it reads the reply. A promise to pay moves the next message to just after the promised date. A question gets answered out of the invoice and the delivery docket. A complaint stops the sequence dead and goes to whoever owns that account, with a draft response attached. You will have seen a sample of every message type before a single one goes out.

Settle

Money arrives messily. Half a payment, three invoices at once, a reference that means nothing.

Chasing Co. reconciles bank feeds, BPAY references, PayNow and the remittance advices that arrive as email attachments. Clean matches close themselves. Part-payments, overpayments and one transfer covering four invoices get matched with a confidence score, and anything under your threshold waits for a one-click confirmation instead of being guessed at.

Every settlement feeds the 30/60/90-day forecast, which is built invoice by invoice rather than off a blended average. It moves whenever a reply lands or money clears. The number you walk into a board meeting with is this morning's number, not last month's.

Tiered follow-up

A sequence, not a blast. Courtesy note, reminder, firm reminder, final notice, each on whichever channel that customer actually reads, each stopping the moment they reply or pay. Cadence, wording and stop-rules are set per customer segment, so your best account and your worst payer get treated differently.

Reply comprehension

Every reply is sorted into promise to pay, question, dispute, out-of-office, wrong contact or bounce, and each one has a defined behaviour. A promise reschedules. A question gets answered from the invoice and the delivery documents. A wrong contact triggers a hunt for the right one. Anything Chasing Co. is not sure about goes to a person rather than being handled badly.

Cash application

Payments are matched back to invoices from bank feeds, BPAY references, PayNow and remittance emails. One transfer covering six invoices gets split correctly. A short-pay gets flagged with the likely reason, usually a credit note or a disputed line. Matches above your confidence threshold post to the ledger on their own; the rest wait.

Dispute handover

A contested invoice is never chased again. It goes to the named account owner with the whole thread, the delivery and pricing documents and a drafted reply, and it sits there until they decide. Chasing Co. does not argue with your customers, because it does not know the facts of the job and should not pretend to.

Credit exposure

What each customer owes right now, how they have paid you over the years, and which handful of them represent most of your risk. Chasing Co. flags the ones whose behaviour has shifted, paying slower, querying more, replying shorter, while the balance is still small enough to do something about.

Cash forecast

A rolling 30/60/90-day view of what is coming in, built from the payment probability of each individual invoice and published with a confidence band rather than false precision. Exports into whatever cash model you already run, and refreshes every time the ledger moves.
